Job Description
Position Description: The Administrative Assistant furthers the mission of the CCD by assisting with various aspects of all District programs. This position is responsible for collaborating with the Administrative Team. While the majority of the workload is administrative and performed in an office setting, some fieldwork is required. Responsibilities and Duties ● Promote the mission of the CCD ● Provide support for all CCD programs and events as a part of the Administration Team, including but not limited to: ○ Annual Meeting ○ Tree Sale ○ Native Plant Sale ○ Outreach Programs & Workshops ○ Garden Party ○ Volunteer Mailings & Appreciation Events ○ Other events as deemed appropriate by Management ● Develop and maintain office supplies and equipment inventory ● Maintain partner contact information and mailing lists ● Assist public (including but not limited to walk-ins and phone and virtual inquiries) by making referrals to other staff or appropriate organizations when necessary ● Contribute to keeping office space clean and inviting to the public ● Develop and maintain an understanding of CCD programs and services ● Assist District Manager with preparing a monthly and annual budget for the Board as needed ● Support the preparation for financial reviews/audits as required by law and/or grant agreements ● Track deposits and maintain cash box ● Enter bills & sales into accounting software as they arrive after checking for accuracy and reporting discrepancies ● Assist in organizing events, various trainings and outreach ● Advertise District events using various marketing platforms ● Maintain and grow District’s social media presence ● Website Administration ● Develop and maintain photos of each program for communication needs ● Participate in key community events ● Respond to inquiries from the general District email ● Seek out additional funding sources ● Assist with filing organization needs Charlevoix Conservation District Position Description: Administrative Assistant Required Knowledge and Experience A minimum of an Associate’s Degree in business administration, marketing, natural resource management, or a related degree is preferred, but not required. Related Work Experience ● Experience in natural resource management is preferred ● Experience collaborating on, developing, and delivering conservation programs to a variety of audiences ● Experience in an administrative role ● Experience in a marketing, finance or communications position ● Ability to work independently, establish work priorities, and manage time effectively ● Ability to work effectively and cooperatively with individuals, groups, organizations, and units of government Skills and Abilities ● Excellent verbal and written communication skills in English ● Strong organizational skills ● Experience regarding basic computer skills including Microsoft Office, QuickBooks, Google Workspace, Canva (or other publication software), and social media platforms. ● Exhibit excellent social and interpersonal skills ● Highly flexible to accommodate a range of tasks and expectations Working Conditions ● Able to sit at a desk for extended periods ● Able to lift up to 30 lbs ● Able to effectively communicate in English Reasonable accommodations will be made for otherwise qualified applicants unable to fulfill one or more of these requirements. Compensation The Administrative Assistant is a part time, 15-hour/week position, with the ability to increase to 20 upon Board Approval. Wages will be $12-$15/hour dependent on experience. Potential to increase annually based on performance evaluation, continued training, and education.
